Once you’ve spent a week logging your time and activities, write a list with each activity and how long it takes you every time you do it. Organize this list in order, with the things that you do the most or for the longest at the top, and things that take up less of your time at the bottom. By doing this, you’ll be able to quickly see the activities and tasks that are taking up the most of your time so that you can prioritize them when the time comes.
Step 2: Create your to-do list
Now that you have an idea of where your time goes in an average week, you’re ready to start time blocking. First, you’ll need to create a to-do list.
Think about all of the tasks you need to get done during the upcoming week, and write them down. Ensure you include meetings you have in your work calendar as well as breaks and personal matters like appointments or exercise time.
Step 3: Take inventory of and prioritize your tasks

Label similar types of tasks with the same color to group them, and so that you can quickly see what your week looks like at a glance. For example, if you’ve labeled meetings with a purple tag and you see that your upcoming week is filled with tons of purple blocks, you know that you’ll need to add in a few extra breaks to recharge after all of those meetings.
Because Trello integrates with Outlook and Gmail, you’re able to create new task cards easily from these sources.
