Asana Project Tracking Tips: How to Watch Tasks Privately

As a manager, you are likely accountable for multiple tasks assigned to other people. It’s always good to follow these tasks and keep an eye on their progress, but sometimes you may want to watch them privately. In these cases, you can add certain tasks to a private project by multihoming them.

Since the project is private, employees won’t know it exists, and will not know you are watching their tasks. Multihoming tasks to private projects is a great project tracking tip for managers.

How do you get started?  Let’s take a closer look.

How to Create Private Projects

The first step to private project tracking is to create a regular project.

You can do this in one of two ways: click the “+” button in the top bar and select project, or click the “+” button beside “PROJECTS” in the sidebar.

After naming the project, choose the “Private to Me” privacy option. This privacy setting means only you can access or search for the project. In the example below, the project’s name is “Follow-Up.”

How to Watch Tasks Privately

Next, add the tasks you want to watch in the private project.

To do this, select a task. Hover over the project name in your task pane, select the + or pencil icon and add the task to the private project. In the example below, the task was added to the private project “Follow-up.”

This way, the task you want to watch privately will exist simultaneously in multiple projects. For example, the task “Write Blog Post on Design Thinking” is going to be in both in its original  “Content Strategy” project, and your private “Follow-up” project.

You can add as many task as you want to your  private project.

You can also opt to view incomplete tasks, completed tasks, or all tasks.

Tasks can be sorted in alphabetical order or according to their completion date, due date, assignee, and number of likes.

Once a task is complete and you’re done watching, simply remove it from the project.
