"If you're thinking about working through your migration manually, you should absolutely invest in making your migration cleaner with Unito."
Digital Divide is a multidisciplinary team of marketing specialists from two agencies under the same roof. This gave their clients access to industry-leading experts, but it created a problem for the team. Two project management tools, each with years of historical data.
That meant every project involved jumping back and forth between ClickUp and Asana, which slowed down workflows, created more administrative work for everyone, and stretched the agency’s budget with extra software licenses.
To cut costs, streamline operations, and ultimately provide a better service to their clients, Digital Divide aimed to migrate fully from ClickUp to Asana. But they didn’t want to migrate everything in one go. They wanted enough overlap between the two tools that they could train their teams at their leisure while ensuring all the data they needed ended up in Asana with no hiccups.
That’s why they turned to Unito.
Expensive and time-consuming
Working with both ClickUp and Asana under the same roof made projects unnecessarily more complicated. Agencies work with tight margins. Speed and reliability are why clients go to them. But for Digital Divide, every project spanned two PM tools. They had to fight an uphill battle just to keep everyone in the loop.
Migrating from ClickUp to Asana also came with its own challenges. Migrating manually didn’t seem like a viable option. Most integration solutions on the market didn’t seem suited to their needs either, because the Digital Divide team was on a tight timeline. They needed their migration to take no longer than a month, from start to finish.
Being stuck at this crossroads led to several issues:
- Expensive licenses: Digital Divide doubled up on licenses, with every team member having an account in both ClickUp and Asana. This was a massive burden on their budget.
- Disjointed communication: With collaborators all over the world, Digital Divide’s project management tools served as the ideal asynchronous communication channel. Only they needed to hop back and forth between two tools to make that so.
- Too much manual work: A manual migration with spreadsheet exports and manual mapping of fields across tools wasn’t scalable or sustainable.
- Generic integration tools: Most integration tools on the market didn’t seem suited to ClickUp or Asana. They lacked the deep field mapping functionality the Digital Divide team needed and were missing key features, such as exporting comments from ClickUp to Asana.
“If you have 30 team members in both Asana and ClickUp, you’re paying for all those seats, even if someone’s only using a platform twice a month to check on a client.”
– Liv Sewell, Operations Manager at Digital Divide
Achieving seamless migration with Unito
Unito’s no-code platform and deep integrations allowed Digital Divide to set up a seamless migration between ClickUp and Asana on their own time. This meant everyone could work without any disruptions as the migration happened in the background.
Here’s why Digital Divide chose Unito:
- Deep field mapping: Liv and her team were worried about manually having to map ClickUp fields with Asana fields through spreadsheets and endless scrolling. Unito’s integration handled all the fields they needed and allowed custom mappings that fit their requirements.
- Customizable sync direction: Unito’s flows can sync data back and forth between tools and create new tasks in both directions. They can also create new work items in just one tool while making changes in both tools. This customizable approach was ideal for Digital Divide’s migration.
- Industry-leading experts: With support from Unito’s product experts who knew everything there was to know about Asana and ClickUp, the team at Digital Divide found they were in good hands. They ran into a small issue syncing subtasks, reached out to the team, and things quickly got moving again.
“The Unito team was great and so communicative. That was essential when a migration can be pretty stressful. Compared to if we had to manually migrate all our data, we saved heaps and heaps of time and energy. Unito was 100% worth it.”
– Liv Sewell, Operations Manager at Digital Divide
The best migration money can buy
Unito didn’t just allow the team at Digital Divide to migrate from ClickUp to Asana. With it, they achieved something they didn’t even know was a possibility: a synced migration.
Instead of picking a date and migrating everything over in one day, Digital Divide could sync over both historical and new data from ClickUp to Asana as they worked. Once the migration was complete, Liv could just tell her team to log out of ClickUp at 5:00 pm on day and log in to Asana at 9:00 am the next day, knowing all the tasks they needed would be right there waiting for them.
The impact of Unito’s integration
- Synced migration: Instead of shunting the team from ClickUp to Asana all at once, everyone had the space and time to migrate their work over time. Unito kept both tools in sync throughout the migration, meaning everyone had the data they needed to push projects forward.
- No data loss: With most migrations, teams have to aggressively prioritize existing data to account for potential losses or missteps. With Unito, Digital Divide maximized the data they could migrate, including data from every client’s workspace and comments from ClickUp.
- Training at a relaxed pace: Because Digital Divide migrated so gradually, their team learned how to use Asana just as gradually. No time-intensive training sessions and no learning curve.
“We took everyone out of ClickUp except for one login we use as a backup if we needed it, but we haven’t needed it at all. The migration went smoothly and was so worth doing. It’s been an amazingly positive change.”
– Liv Sewell, Operations Manager at Digital Divide
A migration with serious ROI
Migrations don’t have to be these unwieldy, expensive processes. With Unito, the team at Digital Divide was able to migrate at their own pace from ClickUp to Asana, without spending thousands of dollars on one-time migration tools or relying on expensive consultants. Now they can work in a single tool with all the historical data they build up in ClickUp over years of serving their clients.
And all it took was a little help from Unito.
“If you’re thinking about working through your migration manually, you should absolutely invest in making your migration cleaner while having the ability to reactivate your Unito flows any time you need them. If you’re doing a manual migration, once it’s there it’s there, and you’re stuck with it if you’ve lost data.”
– Liv Sewell, Operations Manager at Digital Divide
